Patient portal terms

1. About these terms
These terms govern your use of the Highland Longevity patient portal at portal.highlandlongevity.com (the “Service”), including any wearable device integrations available through it. By creating an account, signing in, or connecting a device, you agree to these terms.
The Service is operated by Highland Longevity, a longevity medicine clinic in Fort Worth/Dallas, Texas operated by Dr. Joshua Lindsley, DO, DABOM.
2. Eligibility
- You must be 18 years of age or older to create a patient portal account.
- You must be an established Highland Longevity patient or in the process of becoming one.
- You agree that the information you provide is accurate, current, and complete to the best of your knowledge.
3. Your account
- You are responsible for maintaining the confidentiality of your login credentials and for any activity that happens under your account.
- Notify us immediately at josh@highlandlongevity.com if you suspect unauthorized access to your account.
- Do not share your account credentials with anyone, including family members. If a family member needs access, contact us about formal proxy access.
4. Connecting wearable devices
The Service offers optional integrations with consumer wearable devices including Oura Ring, Whoop, and Apple Health. By connecting a device or uploading a data export, you agree that:
- You are the rightful owner of the device account and the data you authorize us to access.
- You authorize Highland Longevity to import, store, and display the metrics described on the “My Health Data” page (sleep, HRV, resting heart rate, activity, recovery scores, VO2 max where available).
- You can disconnect any device or revoke consent at any time. Disconnecting stops new data collection. You can also request deletion of historical wearable data already in your chart by contacting our Privacy Officer.
- Highland Longevity is not the manufacturer of any wearable device and is not responsible for the accuracy of the data the device produces. Wearable data is interpreted as a trend indicator alongside your clinical evaluation, not as a diagnostic measurement.
- Use of each third-party device remains subject to that vendor's own terms of service and privacy policy. Connecting through our portal does not modify your relationship with the device vendor.
5. Educational content
The patient portal includes an educational library of evidence-based briefs covering longevity medicine topics. This content is provided for informational purposes only and is not medical advice. Always consult your care team before making changes to your health regimen.
6. Appropriate use
You agree not to:
- Use the Service for any unlawful purpose or to violate any third-party rights
- Attempt to access another patient's record or any system you are not authorized to access
- Probe, scan, or test the vulnerability of the Service or circumvent any security measure
- Upload viruses, malware, or any code intended to harm the Service or its users
- Interfere with any other patient's use of the Service
- Share content that is harassing, defamatory, or otherwise inappropriate via secure messaging
7. Privacy and data protection
Your health information is handled in accordance with our Privacy Notice and the formal HIPAA Notice of Privacy Practices provided during patient onboarding. You retain ownership of your health information; we are its steward.
8. Use of artificial intelligence
Highland Longevity uses artificial intelligence (AI) to assist with clinical documentation and administrative tasks. We want you to understand how and where AI is involved in your care.
What AI assists with today:
- Drafting SOAP notes from an in-visit audio recording or the provider's structured notes
- Parsing lab reports, DEXA scans, VO2 results, and intake documents so the data can be charted
- Producing patient-friendly summaries of a visit or a set of lab results that appear in your portal
- Drafting follow-up messages from our CRM to leads and prior patients (outbound marketing and scheduling communication)
- Predicting appointment no-shows so the scheduling team can reach out proactively
- An optional AI voice receptionist that may answer inbound calls, triage your request, and transfer you to a human when appropriate
Provider review. AI output is a draft. A licensed Highland Longevity provider reviews AI-assisted clinical documentation before it becomes part of your medical record. The provider is responsible for the final content.
AI can make mistakes. AI systems can misinterpret audio, mislabel values, or omit detail. Errors found during provider review are corrected before the note is signed. If you later believe information in your record is inaccurate, you may request an amendment through /portal/request-amendment in the patient portal.
How your data is processed. AI processing happens through Google Cloud Vertex AI — currently Gemini 3.1 Pro for SOAP drafting and Gemini 3 Flash for summaries, parsing, and receptionist conversations. Google Cloud is a HIPAA Business Associate of Highland Longevity under a signed Business Associate Agreement. Your protected health information is not used to train third-party models and is not retained by the AI provider beyond the processing window needed to return a response.
Opting out. You may ask your provider to use human-only documentation for your visits. Contact your provider or email josh@highlandlongevity.com. Opting out may lengthen the time it takes for your note or summary to be finalized after a visit. Opting out of AI documentation does not affect your ability to use the patient portal or receive care.
9. Service availability
We strive to keep the Service available at all times but do not guarantee uninterrupted access. The Service may be unavailable for scheduled maintenance, unexpected outages, or events outside our control. The Service is provided on an “as is” basis without warranties of any kind, express or implied, except those that cannot be disclaimed by law.
10. Communication preferences
By providing your email address and phone number, you consent to receive transactional messages from Highland Longevity related to your care, appointments, and account. You can manage SMS consent in your portal profile and unsubscribe from marketing email at any time using the unsubscribe link.
11. Changes to these terms
We may update these terms as the Service evolves or as required by law. The “Last updated” date at the top of this page reflects the most recent revision. Material changes will be announced on the patient portal home page. Continued use of the Service after a change indicates your acceptance of the updated terms.
12. Termination
You may stop using the Service at any time. Highland Longevity may suspend or terminate access to the Service if you violate these terms or if continued access is no longer appropriate (for example, if you transfer care to another provider). On termination, your medical record is retained according to the retention rules in our Privacy Notice.
